PV asset management

From document to completed task

Three stages: recognise, derive follow-up actions, complete automatically. The agent proposes, decisions stay in-house.

Documents arrive and are recognised

Three assignments per document – class, plant, counterparty

Follow-up actions are defined

Plant documentation and checks – depending on document class
Asset file

Adopt master data and technical information

From every document that carries master data or technical details – here the commissioning report, the single line diagram and the register filing – the predefined fields of the asset file are populated, every value with a back-reference to its source document. The check also covers what is missing: this plant from 2010 never received five of its technical documents.

Deadlines

Recognise deadlines, create tasks

Deadlines are computed from the document, not typed in. A rule decides which task arises when.

  • EPC contract · warranty 5 years from acceptance, accepted 15 October 2021
  • Before expiry: review and report open defect notices
  • Follow up defect notice 04/2024 · central inverter 2 · deadline 15 October 2026
  • Electrical safety test report (DGUV V3) · test date 8 November 2022
  • Periodic retest under DGUV V3 every 4 years
  • Order periodic retest · deadline 8 November 2026
  • Maintenance report · carried out on 10 May 2026
  • Maintenance interval per O&M contract: 12 months
  • Call off the next maintenance · deadline 10 May 2027
Checks

Create verification tasks

Certain document classes trigger a verification task – against other internal documents or against external data.

  • Maintenance report 07/2026 · Dachanlage Logistikhalle Mainz II
  • Scope of services per O&M contract
  • Check created · responsibility assigned
  • Marketer statement 08/2026 · Solarpark Windberg Nord
  • Own generation per monitoring portal
  • Check created · responsibility assigned
  • O&M invoice for module cleaning · Solarpark Neuruppin Ost
  • Unit price per O&M contract
  • Check created · responsibility assigned
  • Market premium 08/2026 · Solarpark Windberg Nord
  • Applicable value and monthly market value (netztransparenz.de)
  • Check created · responsibility assigned

Automation and further benefit

Tasks are processed automatically and submitted for approval
Automatic handling

Verification tasks are completed and submitted

The agent fetches the data it needs, recalculates and submits the result – even when no variance was found.

Example: marketer statement, Solarpark Windberg Nord

  1. Read marketed volume and monthly market value from the statement
  2. Fetch own generation for the same month from the monitoring portal
  3. Assess the variance and cite its sources

Submitted for approval · 19,270 kWh not settled – €1,225.38

Example: O&M invoice for module cleaning

  1. Find the proof of service that justifies the invoice
  2. Hold the price against the O&M contract’s price list
  3. Reconcile the quantity: cleaned per proof, invoiced per invoice

Submitted for approval · €1,850.00 invoiced, €1,650.00 agreed

Example: maintenance report, Solarpark Neuruppin Ost

  1. Read the services performed from the report – checklist or free text
  2. Hold them against the scope of services in the O&M contract
  3. Cite each missing item with its place in the report

Submitted for approval · 12 of 13 checkpoints performed – thermography missing

Enforcement

Follow up open cases

Every task has a responsible counterparty. Cases once raised are tracked until an answer arrives.

Resubmission · reminder · escalation – per counterparty across all plants
Finance

Cash flow against the financial model

Actuals from statements and invoices against the financial model’s planned cash flow.

Variance visible early – before the DSCR triggers a cash sweep
Reporting

Produce a report draft

Figures, findings and sources are assembled into a draft.

Judgement and tone stay with the human
Recovery

Pursue claims and warranty cases

Unjustified line items are disputed, warranty cases are tracked to completion.

Every finding cites its source document
Transaction

Due diligence without the clean-up

For a sale, refinancing or change of service provider the asset file is complete – every value with its source, and whatever is missing is on a list.

The gap list exists before the buyer writes it
Recalls

Find affected plants at once

When a manufacturer recalls modules or inverters, type and serial number show at once which plants are affected.

Plant by plant – instead of a circular to every service provider

Capture, assignment and verification run automatically. Execution is always submitted for approval.Nothing leaves the house without approval.

Frequently asked questions

Do we have to replace our monitoring or asset-management software?

No. Monitoring knows time series, filing systems know files – SemanticWorks reads the documents alongside them.

What if the system does not recognise a plant with certainty?

Then it asks and says why: the identifier it found and the candidates it matches. It never guesses with a percentage.

Who decides?

You do. Even the automatic check ends with your approval; every finding names the rule, the documents and the figures.

Where is our data stored?

On European infrastructure, under your control. We do not train other models with it. The data model follows public vocabularies (Orange Button, the PV-Onto domains of MDS-Onto, IEC 62446) and exports with everything.

Get in touch.

We’ll show you how it works live in a personal online demo – or talk with you about your project.

After the demo we take it step by step: first a pilot on one plant, then your portfolio.
